Hotel Preventive Maintenance for the Heart of the Hurricane Season

As this post is being written, there are 2 hurricanes (Igor and Julia) and 1 tropical storm churning in the Atlantic Ocean and Caribbean. We are in the heart of the hurricane season making it imperative that hotels and resorts be fully prepared for storms, before, during and after their passing. Good preventive maintenance programs as part of an overall hotel asset management strategy, using an EAM, is important for hurricane preparations.

One of the keys to protecting hotel and resort assets is an organized approach to maintenance. The following is an asset checklist of some of the major questions that hotels, resorts and lodge asset managers should be asking about their operations:

    • Do you know where all your assets are, have a detailed description, know their condition and when they were last inspected or repaired?
    • Do you have a computerized inspection task list of assets to be secured? Computerized files can easily be transferred to another location.
    • Can the inspections be done using handheld mobile devices? Handheld devices increases facility staff mobility and speed of reporting results.
    • Are your important documents associated with assets electronically secure and accessible? Do you know which vendors to contact for each asset (as well contact info) should they be damaged?
  • During
    • How will you monitor critical assets or assets that must be left online (such as a boiler)?
    • If the property is not completely abandoned during the storm, does your hotel or resort have an inspection checklist to inspect for physical or sensory developments such as leaks, pipe breaks or the smell of gas?
    • How fast can you shut down critical gas lines, electric power, do you have up-to-date shutdown procedures?
  • After
    • How will your hotel or resort handle inspecting hotel assets? Will the inspections be a visual walk through or an organized task list with predetermined questions to be answered?
    • Identifying, prioritizing and fixing damage or liability issues quickly is crucial. How will your hotel or resort handle work requests and work orders?
    • Can work requests be done on the spot for repair/replace decisions or must the staff return to the office to complete paperwork first?
    • How long will it take your hotel or resort to produce a new asset management report on the condition of all assets after the storm passes? Speed is essential for damage claims as well as capital planning.

Asset management begins with a plan to make sure assets are well cared for during regular operations or in case of emergencies. It continues with the use of the best tools to make sure the job gets done efficiently and effectively. If asset and maintenance management are performed well, then hotels and resorts are able to maximize the useful lifecycle of their assets and reign in costs at the same time.
